Menu Path: Control Panel >System admin> Manage Users > Audit Trail Report

This function provides a chronological record or destination along with the source of records as a documentary evidence of the sequence of activities that take effect at any time on a specific operation, procedure, or event that occurs on Enterprise Management Portal (EMP).

This function allows user to generate detailed Audit Trail whereby can filter by users, branches, Dates, types, keywords.

3. Audit Trail in Edit Functions

 Edit Item

Menu Path: Inventory > Item > Edit Item

In Edit Item, select an item code. Changes to any or all of its's selection will be captured and recorded in the Audit Trail Report.

  • User may commit changes at the item's category and view the changes or activities on Audit Trail Report simultaneously.
  • The following image displays the Audit Trail Report that user will have to refer to view those changes executed at the Edit Item function page.

For Example:

  • Change on Item Category

  • Change on Serialized Options

  • Change on Output Tax Code 

  • Change on List Price


 Edit Invoice

Menu Path: Trading > Sales > Edit Cashsale/Invoice

For Example:

  • Change on Salesman

 

  • PO Rerefence No

 Edit Company

Menu Path: Control Panel > Developer > Organization Structure > Company > Edit Company

For Example:

  • Company Code

  • Company Name

  • Company Description

  • Company Full Name

  • Company Currency

  • Company Status

  • Company Registration Number

  • Company Tax Registration Number

  • Integration Ref. 1

  • Integration Ref. 2

  • Integration Ref. 3

 Edit Item Matrix Categories

Menu Path: Inventory > Item Categories > Matrix Category Maintenance

For Example:

  • Sort Code, Code, Name, Description

 Edit User

Menu Path: Control Panel > System Admin > Manage Users > User Listing > Edit User

For Example:

  • First Name, Last Name, Role and Default Branch

  • Address 1, Email 1, User ID Reference 1 and User ID Reference 2

 Edit Branch

Menu Path: Control Panel > Developer > Branch Maintenance > Edit Branch

For Example:

  • Branch Ref 1, Branch Ref 2, and Branch Ref 3


4. Record of Backdated / Future dated for Journal Transaction on Audit Trail Report

 Record Backdated and Future Dated Journal Transaction

Menu Path: Accounting > Journal and Ledger > Add Jtxn

1.Creating a Backdated journal transaction:

The date is set as in backdated, example:

Current Date: 24 / 03 / 2017

Back dated: 14 / 03 / 2017

  • Choose the respective values for the fields shown as per the image below, and click save detail before clicking on Add GL Code.
  • Click on Confirm and Save button after creating the Journal Transaction.


2.Creating a Future dated journal transaction:

The date is set as in future dated, example:

Current Date: 24 / 03 / 2017

Future dated: 01 / 04 / 2017

  • Choose the respective values for the fields shown as per the image below, and click save detail before clicking on Add GL Code.
  • Click on Confirm and Save button after creating the Journal Transaction.


  • The Audit Trail Report allows to search for both record backdated and future dated transaction:
  • Select the date range.
  • At the Keyword field, type in backdated journal transaction or future dated journal transaction and click on the Submit button.

5. Record the details of the created task or scheduler to the audit report

 Record the details of Created Task

Menu Path: Control Panel > Developer > Plugins > Task Scheduler > Create Task


1.Creating a Task:

Below image shows the main interface for Task Scheduler Function on EMP.


Once all the fields are filled, click on Create Task.

Note: All fields are compulsory to fill in EXCEPT for the Description.


Below message will be displayed upon successfully created the Task.


The ERROR MESSAGE below will be shown or pop up if the task is already existed or created task has been attempted to be created once again


2. Check the recorded details of created task on Audit Trail Report

Menu Path: Control Panel > system Admin > Manage User > Audit Trail Report

Below shows the main interface that can be monitored by the user

  • All fields has to be filled in appropriately with correct value.
  • The report can be generated either by selecting the User tick Option / Branch tick Option
  • Click Submit upon completing the fields


Report will be displayed upon clicking on Submit button.

  • The image shows the details of created task that has been tracked by the Audit Trail Report
  • Besides Create Task, Add, Edit and Delete Task will also be tracked by the Audit Trail Report.
  • It will show the remarks, date and the time along with the user account to display which user has created the task

6. Record the details of the user who do any transactions

 Closed Purchase Order

Menu Path: Control Panel > system Admin > Manage User > Audit Trail Report

Below shows the main interface that can be monitored by the user

  • All fields has to be filled in appropriately with correct value.
  • The report can be generated either by selecting the User tick Option / Branch tick Option
  • Keyword : Closed the Purchase Order
  • Click Submit upon completing the fields

Report will be displayed upon clicking on Submit button.

  • The image shows the details of purchase order that has been tracked by the Audit Trail Report
  • Audit Trail Report tracked the user who Create, Approve and Close the purchase order.
  • It will show the remarks, date and the time along with the user account to display which user has created the task

 Merge Customer Account

Menu Path: Control Panel > system Admin > Manage User > Audit Trail Report

  • All fields has to be filled in appropriately with correct value.
  • The report can be generated either by selecting the User tick Option / Branch tick Option
  • Keyword : Merged
  • Click Submit upon completing the fields

Report will be displayed upon clicking on Submit button.

  • The image shows the details of merge customer account that has been tracked by the Audit Trail Report
  • It will show date and the time along with the user account to display which user has merged the customer account


 Upload GRN

Menu Path: Control Panel > system Admin > Manage User > Audit Trail Report

  • All fields has to be filled in appropriately with correct value.
  • The report can be generated either by selecting the User tick Option / Branch tick Option
  • Keyword : Upload GRN
  • Click Submit upon completing the fields

  • It shows date and the time along with the user account and document number 

7. Record the details of the user who generate report

 General Sales Order Listing Detail

Menu Path: Control Panel > system Admin > Manage User > Audit Trail Report

  • All fields has to be filled in appropriately with correct value.
  • The report can be generated either by selecting the User tick Option / Branch tick Option
  • Keyword : General Sales Order Listing
  • Click Submit upon completing the fields

Report will be displayed upon clicking on Submit button.

  • The image shows the details of sales order listing detail that has been tracked by the Audit Trail Report
  • Audit Trail Report tracked the user which user generate the report, which branch, which item and what date range

 CC-07 Historical Transaction Aging

Menu Path: Control Panel > system Admin > Manage User > Audit Trail Report

  • All fields has to be filled in appropriately with correct value.
  • The report can be generated either by selecting the User tick Option / Branch tick Option
  • Keyword : CC-07
  • Click Submit upon completing the fields

  • Audit Trail Report tracked the user which user generate the report, which branch and what date range
 Stock Availability

Menu Path: Control Panel > system Admin > Manage User > Audit Trail Report

  • All fields has to be filled in appropriately with correct value.
  • The report can be generated either by selecting the User tick Option / Branch tick Option
  • Keyword : Stock Availability Report
  • Click Submit upon completing the fields

  • Audit Trail Report tracked the user which user generate the report, which location, item code and the generation time
 Internal Transfer Detail Listing

Menu Path: Control Panel > system Admin > Manage User > Audit Trail Report

  • All fields has to be filled in appropriately with correct value.
  • The report can be generated either by selecting the User tick Option / Branch tick Option
  • Keyword : Stock Transfer Details Listing
  • Click Submit upon completing the fields

  • Audit Trail Report tracked the user which user generate the report, from and to branch, the date range and state filter
