10.1 Rejection Requests 

10.1.1 Rejection Requests Overview

Purpose: Stores all rejection requests from various applets or the customer portal, submitted by internal staff or customers.

User Actions: Approve, Reject, or On Hold

  • Approve: Select from three processing logics:

    • Regenerate New E-Invoice: Cancels the current e-invoice and creates a new one for resubmission, without modifying the original document.

    • Void Original Document: Cancels the current e-invoice and voids the original document, requiring the creation of a new document for submission.

    • New Reversal Document: Does not cancel the current e-invoice but creates a new reversal document automatically for submission. Examples include:

      • SALES INVOICE creates SALES RETURN

      • SALES DEBIT NOTE creates SALES CREDIT NOTE

      • SALES CREDIT NOTE creates SALES DEBIT NOTE

      • SALES REFUND NOTE creates RECEIPT VOUCHER

      • SALES CASHBILL creates SALES RETURN

10.1.2 Rejected Transactions

This section provides a list of transactions that have been rejected. Each transaction displays its current status, allowing you to track and manage them effectively. The possible statuses for these transactions include:

  • Approved: The transaction has been reviewed and approved.

  • On Hold: The transaction is temporarily paused and awaiting further action.

  • Completed: The transaction has been fully processed and finalized.

  • In Progress: The transaction is currently being processed.

  • Cancelled: The transaction has been cancelled and will not proceed further.

  • Failed: The transaction did not complete successfully.

You can view all relevant details for each rejected transaction, by clicking on a transaction from the listing

10.1.3 Rejection Request Details

When you select a rejected transaction, a side menu will appear on the right with different tabs providing detailed information and options:

Remaining Hours for Cancellation

  • Remaining Hours for Cancellation: Shows how many hours the admin has left to cancel this document. This helps ensure cancellations are processed within the allowed time frame.

Reason

  • Reason: Displays why the document needs to be cancelled. Understanding the reason assists in making informed decisions on how to proceed.

System Processing Status

  • System Processing Status: Allows you to choose the processing status of the transaction.

    • Complete: Indicates that the processing is finished.

    • In Progress: Indicates that the processing is currently underway.

Approval Status

  • Approval Status: Enables you to select the approval status of the transaction. You can choose to:

    • Approve: Approve the cancellation request.

    • On Hold: Place the request on hold for further review.

    • Reject: Reject the cancellation request.

These statuses will appear in the main menu listing, helping you keep track of each transaction's current state.

Processing Logic

Depending on the action required, the system provides different processing options:

  • REGEN_NEW_EINVOICE: Cancels the current e-invoice and generates a new e-invoice. Use this option when you need to correct errors and issue a new invoice.

  • VOID_ORIGINAL_DOC: Cancels the current e-invoice and voids the original document (which means the sales invoice will be voided). Use this option when the original transaction should be nullified completely.

  • NEW_REVERSAL_DOC: Requests a sales return e-invoice. Use this option when you need to process a return or reversal of the original sale.

When the admin has completed all the necessary selections, click on the Process Request button at the top. Based on the option chosen in the Processing Logic, the system will process the rejected document accordingly. The updated transaction details will then appear for the customers in the Customer Portal
