Related Applets to Internal Sales Debit Note and Their Integration

The Internal Sales Debit Note Applet does not work in isolation; it is part of a broader system designed to ensure smooth financial and accounting processes. To effectively use the Internal Sales Debit Note applet, it is crucial to understand its connection with several related applets:

Doc Item Maintenance Applet

  • Purpose: This applet manages the creation and editing of items that can be used in various transactions.

  • Relation to Sales Debit Note:
    The items you select when creating a sales debit note must be properly configured in this applet.

  • Key Details:

    • Items like "Electricity" (as shown in the screenshot) are configured here.

       

    • The item must have its Type set to "Account Type", which means it links to a General Ledger (GL) code rather than just a physical product or service.

    • You can assign this item to one or multiple companies via the Company Linking tab. This allows the system to recognize which company the item relates to in financial transactions.

    • When you select or create a GL Code for the item here, it ensures proper accounting classification during debit note creation.

Chart of Account Applet

  • The central applet for managing your organization’s financial accounts and GL codes.

  • It contains the GL Code Create Item page (found in the left main side menu), where you create and manage GL code items.

  • This page allows you to create new GL codes or verify existing ones before using them in debit note transactions.

  • Linking GL codes properly here is critical for financial accuracy and reporting.

GL Code Create Item Page (Under Chart of Account Applet)

  • You select the GL category, search for existing GL codes, or create new ones as needed.


Item Creation Box:
If the item you are searching for does not exist yet, a box will appear allowing you to enter the details of the new item you want to create. This box enables you to input essential information to register a new item.

  • Displaying the Item Code:
    Once you start creating the new item, the system will generate and display an item code for you. This code is unique and helps in identifying the item in the system.

  • Creating the Account Code:
    After filling the necessary details in the creation box, you need to click the Create button to finalize the creation of the item. The system will process the creation, and once complete, the input box will disappear, and the newly created item will now appear in the list.

Make sure that the GL code exists first.
You need to create the GL code type beforehand, either from the Doc Item or the Chart of Accounts.
After this, you can go to the Sales Debit Note to create a new transaction.

Prerequisite: Existing GL Code


It is important to ensure that the GL code associated with the item exists before creating the item. The GL code serves as the backbone for accounting and categorization.

Creating GL Code Types


If the GL code type does not exist, you need to create it first. This can be done either in the Doc Item Maintenance Applet or in the Chart of Accounts applet. Setting up the correct GL code type is necessary to maintain proper financial structure.

Proceeding to Sales Debit Note


After successfully creating and linking the item to the correct GL code and type, you can proceed to use this item in your sales transactions by going to the Internal Sales Debit Note applet. Here, you will be able to create new sales debit note transactions with accurate accounting details.
