Before you create Item Codes you need to define the Category first.

Please note that Inventory Category 0 is the old category, extended Inventory Category 1 - 5 is the new category levels being extended. Users are advised to set inventory category 0 with the identical settings to be appeared in extended inventory category level 1. There are some older reports that are based on Category 0. However, newer reports are mainly based on extended category 1 - 5.

Creating Category at LEVEL 0

Inventory > Maintenance > Add Category

Take note - The descriptions as Level 0 will be the same as Level 1

Level 0 : Category Code : eg. ADT
Category Name : eg. Adapter
Description : eg. Adapter

Above shows the example of how to create the category. Normally in Level 0, it is for general name of all items - eg. BAG, NBK

You can set a standard code of 2 or 3 character for all the Code - eg. BAG, NBK, ADT

Creating Category Level 1 - 5

Inventory > Maintenance > Extended Category

Level 1 : The same as Level 0

Level 2 : You can set Level 2 to represent all the brand names

Sort Code    : ZYX
Code : ZYX
Name : Zyxel
Description : Zyxel

Level 3 : You can set Level 3 to represent "Product Specification"

Sort Code    : 1GB
Code : 1GB
Name : 1GB
Description : 1GB

Level 4 & 5 : You can set for other product specification also

It is not necessary to use all the Level available. To see the list on each Level -

Inventory > Maintenance > Extended Category

Select the preferred Level and click " Get List".

How to Create Item Code

You can create an item code based on the example shown below:

- [Brand Name] - [Specification] - [Specification]

Eg 1 - Item Code : ADT-A1P-5-CAR
Item Name : ADAPTER A1PRO ACG 5 CONNECTORS CAR CHARGER

Level 0 & 1 : ADT Adapter : General Name
Level 2 : A1P : Brand Name
Level 3 : Product Specification
Level 4 : CAR : Product Specification
Level 5 : Bill : Person In Charge

Eg 2 - Item Code : BAG-TP-15_-BL-PAC160B
Item Name : NOTEBOOK BAG TRAVELPAC 15" SLIPCASE BLUE PAC160B

Level 0 & 1 : NBK Notebook Bag : General Name
Level 2 : TP : Brand Name
Level 3 : Slipcase
Level 4 : BL : Product specification
Level 5 : Goh : Person In Charge

For Level 1 and level 2, if you are using 2 alphabet for level 1, and 3 alphabet for level 2 for the category code, i would highly recommend that you remain consistent, meaning, all category code in the same level will have same number of alphabet, and when you create the item code, try to follow the same convention also.
