1.1 Listing

The Purchase GRN Listing is where the suppliers can track the record of their stock items being received by the users. Whenever the users received any stock items from a supplier, they will create a good received note in the Internal Purchase GRN Applet with the respective supplier chosen. Therefore, the suppliers will only be able to see the stock items that are from them in the listing of Internal Purchase GRN Supplier Access Applet. The displayed columns in the listing are:

  • Purchase GRN No.

  • Branch

  • Purchaser Name

  • Updated Date

  • Created Date

  • Transaction Date

  • Created By

To ease the suppliers, they are able to search the good received notes that they are searching using the advanced search tab which is located above the listing.

1.2 View Purchase GRN

By clicking on one of the rows in the listing, the suppliers will be able to see the details of the good received note.

1.2.1 Main Details

In the Main Details tab, there are 10 components which allow the suppliers to see:

  • Branch

  • Location

  • Purchaser Name

  • Transaction Date

  • Credit Terms

  • Reference

  • Remarks

  • Permit No

  • Currency

  • Tracking ID

1.2.2 Account

1.2.2.1 Entity Details

In the Account’s Entity Details tab, the suppliers are able to see their own details:

  • Entity ID: Supplier Code

  • Entity Name: Supplier Name

  • Status: Active or Inactive

  • Entity Type: Corporate or Individual

  • Identity Type: IC or Passport

  • ID Number: IC or Passport number

  • Currency: To determine based on the pricing condition what you are maintaining

  • Email: A central email through which the Supplier wants to communicate

  • Description: Additional notes

  • Phone Number: A central phone number through which Supplier wants to communicate

1.2.2.2 Bill To

In the Account’s Bill To tab, the suppliers are able to see where the users bill to:

  • Name

  • Email

  • Phone No

  • Billing Address

  • Address Line 1 to 5

  • Country

  • State

  • City

  • Postcode

1.2.2.3 Ship To

In the Account’s Ship To tab, the suppliers are able to see where they need to ship to:

  • Recipient Name

  • Email

  • Phone No

  • Shipping Address

  • Address Line 1 to 5

  • Country

  • State

  • City

  • Postcode

1.3 Lines

In the Lines tab, the suppliers are able to see the stock items received by the users.

By clicking on one of the line item rows, the suppliers will be able to see the details of the selected item.

 

1.4 Item Details

1.4.1 Main Details

In the Item Details’ Main Details tab, the main details of the selected item will be displayed to the suppliers. The main details are:

  • Item Code

  • Item Name

  • Quantity Base

  • Qty by UOM

  • UOM to Base Ratio

  • Unit Price by UOM

  • Unit Discount by UOM

  • Unit Price

  • Unit Discount

  • Discount Amount

  • STD Amount(Unit Price x Quantity)

  • Net Amount(STD Amount - Discount Amount)

  • SST Code

  • SST/GST/VAT

  • Tax Amount

  • Net Amount(SST/GST/VAT x Net Amount)

  • WHT Code

  • WHT

  • WHT Amount

  • Txn Amount

  • Remarks

1.4.2 Delivery Instruction

In the Item Details’ Delivery Instruction tab, the suppliers are able to see:

  • The Delivery Instructions:

  • Instructions from the users

  • Delivery Date set by the users

  • Delivery Message Card:

  • From stated by the users

  • To stated by the users

  • Message stated by the users

1.4.3 Department

In the Item Details’ Department tab, the suppliers will be able to see the information for the department. The information are:

  • Segment

  • G/L Dimensions

  • Profit Center

  • Project

1.4.4 Doc Link

In the Item Details’ Doc Link Tab, the suppliers are able to see where the documents that have the selected item have been COPIED FROM AND COPIED TO. Basically the Doc Link Tab visualizes the documents that have the selected item flows to other systems. The details shown in the listing are:

  • Doc No.

  • Branch

  • Server Document Type

  • Status

  • Date

1.4.5 Delivery Details

In the Item Details’ Delivery Details Tab, the suppliers are able to see the selected item’s delivery details. The details shown in the listing are:

  • Trip No

  • Driver Name

  • Vehicle No

  • Job Start Date

  • Job End Date

  • Delivery Status

  • Recipient Name

  • Qty

1.5 Serial Number

In the Serial Number tab, the suppliers are able to see the serial numbers of the selected item.

1.6 Costing Details

In the Costing Details tab, the suppliers are able to see the costing details of the selected item. The details are:

  • Company Code

  • Location Code

  • Qty

  • Moving Average Unit Cost

  • FIFO Unit Cost

  • Manual Unit Cost

  • Last Purchase Unit Cost

1.7 Pricing Details

In the Pricing Details tab, the suppliers are able to see the pricing details of the selected item. The details are:

  • Pricing Scheme Code

  • Pricing Scheme Name

  • Unit Price

  • Modified Date

1.8 Issue Link

In the Issue Link tab, the suppliers are able to see the issue link of the selected item. The details shown in the listing are:

  • Project

  • Issue Number

  • Issue Summary

  • Issue Description

  • Assignee

  • Created Date

  • Resolved Date

  • Status

1.8.1 View Issue

By clicking on one of the issue link rows, the suppliers are able to see more of the selected issue link.

In the Issue Link’s Details tab, the suppliers are able to see the details of the selected issue link. The details are:

  • Project

  • Issue Type

  • Assignee

  • Reporter

  • Summary

  • Description

  • Parent

  • Created Date

In the Issue Link’s Planning tab, the suppliers are able to see the planning of the selected issue link. The planning details are:

In the Issue Link’s Attachment tab, the suppliers are able to see the attachment of the selected issue link or upload files.

In the Issue Link’s Comment tab, the suppliers are able to see the comments of the selected issue link. The details shown in the listing are:

In the Issue Link’s Subtasks tab, the suppliers are able to see the subtasks of the selected issue link. The details shown in the listing are:

In the Issue Link’s Linked Issues tab, the suppliers are able to see the linked issues of the selected issue link. The details shown are:

In the Issue Link’s Work logs tab, the suppliers are able to see the work logs of the selected issue link. The details shown are:

In the Issue Link’s Activity tab, the suppliers are able to see the activities of the selected issue link. The details shown are:

1.9 Payment

In the Payment tab, the suppliers are able to see the list of payments for the selected Good Received Note. The details shown are:

  • Date

  • Amount

  • Details

  • Remarks

1.10 Department Hdr

In the Department Hdr tab, the suppliers are able to see the Segment, G/L Dimensions, Profit Center, and Project of the selected Good Received Note. The details shown are:

  • Segment

  • G/L Dimensions

  • Profit Center

  • Project

1.11 Contra

In the Contra tab, the suppliers are able to see the list of contras for the selected Good Received Note. The details shown in the listing are:

  • Server Document Type

  • Status

  • Date

  • Amount Contra

1.12 Doc Link

In the Doc Link Tab, the suppliers are able to see where the GRN document has been COPIED FROM AND COPIED TO. Basically the Doc Link Tab visualizes the GRN document flow to other systems. The details shown in the listing are:

  • Doc No.

  • Branch

  • Server Document Type

  • Status

  • Date

1.13 Attachments

In the Contra tab, the suppliers are able to see the list of attachments for the selected Good Received Note added by the users. The details shown in the listing are:

  • File Name

  • Size

  • Updated Date

  • Update By

1.14 Export

In the Export tab, the suppliers are able to export the selected GRN with the printable formats provided by the users.
