Internal Purchase Invoice Listing

The first module of the Internal Purchase Invoice Supplier Access Applet: Internal Purchase Invoice features a purchase invoice listing page which outlines the details regarding all purchase invoices received, including:

  • Purchase Invoice No.

  • Branch

  • Purchaser Name

  • Supplier ID

  • Supplier Name

  • Amount Transaction

  • Updated Date

  • Created Date

  • Transaction Date

  • Status

View Internal Purchase Invoice

Users may click into any available purchase invoice on the listing page to view additional details on that purchase invoice.

Main Details

Under the Main Details tab, the following information about the purchase invoice is displayed:

  • Branch

  • Location

  • Purchaser

  • Transaction Date

  • Credit Terms

  • Reference

  • Remarks

  • Permit No

  • Currency

  • Tracking ID

Account

Entity Details

Under the first sub-tab of the Account tab, Entity Details will display the supplier’s general information as follows:

  • Entity ID

  • Entity Name

  • Status

  • Entity Type

  • Identity Type

  • ID Number

  • Currency

  • GL Code

  • Description

  • Email

  • Phone Number

Bill To

The second sub-tab, Bill To, will display the billing address of the supplier (if the purchaser selected one) with the following info:

  • Name

  • Email

  • Phone No.

  • Billing Address

  • Address Lines 1 - 5

  • Country

  • State

  • City

  • Postcode

Ship To

The third sub-tab, Ship To, will display the shipping address of the supplier (if the purchaser selected one), with the following info:

  • Recipient Name

  • Email

  • Phone No.

  • Shipping Address

  • Address Lines 1 - 5

  • Country

  • State

  • City

  • Postcode

Line Items

Line Items Tab

The Line Items tab displays a listing of line items linked to that purchase invoice with the following information:

  • Item Code

  • Item Name

  • Unit Of Measurement

  • Quantity

  • Unit Price

  • SST/VAT/GST

  • Transaction Amount

Users may click into each line item available for detailed information on that line item.

Item Details

The Item Details tab contains its own sub-tabs: Main Details, Delivery Instruction, Department, Doc Link, and Delivery Details.

Main Details

The Main Details sub-tab contains these information:

  • Item Code

  • Item Name

  • Quantity Base

  • Quantity by UOM

  • UOM to Base Ratio

  • Unit Price by UOM

  • Unit Discount by UOM

  • Unit Price

  • Unit Discount

  • Discount Amount

  • STD Amount (Unit Price * Quantity)

  • Net Amount (STD Amount - Discount Amount)

  • Tax Code

  • SST/GST/VAT

  • Tax Amount

  • Net Amount (SST/GST/VAT * Net Amount)

  • WHT Code

  • WHT

  • WHT Amount

  • Txn Amount

  • Remarks

Delivery Instructions

The Delivery Instruction sub-tab provides the supplier with specific instructions regarding the delivery of the line item. It contains the following information:

  • Delivery Instructions:

  • ○ Instructions for the driver

  • ○ Delivery Date

  • Delivery Message Card:

  • ○ From: Sender

  • T○ Receiver

  • ○ Message

Department

The Department sub-tab allows the user to view the Segment, G/L Dimension, Profit Centre, and Project related to the line item for their customer.

Doc Link

The Doc Link sub-tabs allow a user to view if the current line item is linked to any other documents via the Copy From and Copy To sub-tabs. Both sub-tabs display a listing with these information:

  • Doc No

  • Branch

  • Server Doc Type

  • Status

  • Date

Delivery Details

The Delivery Details sub-tab provides a user the following information regarding delivery:

  • Trip No

  • Driver Name

  • Vehicle No

  • Job Start Date

  • Job End Date

  • Delivery Status

  • Recipient Name

  • Quantity

Serial Number

The Serial Number tab is only applicable for line items with a serial number.

Costing Details

The Costing Details tab shows the following costing details for a line item:

  • Company Code

  • Location Code

  • Quantity

  • Moving Average Unit Cost

  • Weighted Average Unit Cost

  • FIFO Unit Cost

  • Manual Unit Cost

  • Last Purchase Unit Cost

Pricing Details

The Pricing Details tab shows a user the various pricing schemes related to the line item, along with these information:

  • Pricing Schema Code

  • Pricing Schema Name

  • Unit Price

  • Modified Date

Issue Link

The Issue Link tab allows users to view a list of linked issues to the line item, under which each linked issue can also display the logged time, if any, that was spent working on that issue. The listing contains these information:

  • Project

  • Issue Number

  • Issue Summary

  • Issue Description

  • Assignee

  • Created Date

  • Resolved Date

  • Status

Payment

In the Payment tab, users can view the payment made by their customers when finalizing the purchase invoice. The available information are:

  • Payment Method

  • Date

  • Paid Amount

  • Remarks

Department Hdr

Users may view the Segment, G/L Dimension, Profit Centre, and Project related to the purchase invoice for their customer under the Department Hdr tab.

Contra

Under the Contra tab, users can view any applicable contra document related to the purchase invoice created by their customers. Available information on the contra documents are as follows:

  • Server Doc Type

  • Status

  • Date

  • Amount Contra

Doc Link

The Doc Link tabs allow a user to view if the current purchase invoice is linked to any other documents via the Copy From and Copy To sub-tabs. Both sub-tabs display a listing with these information:

  • Doc No

  • Branch

  • Server Doc Type

  • Status

  • Date

Attachment

Users may view any attachments uploaded to the current purchase invoice under the Attachment tab. The listing provides the following information:

  • File Name

  • Doc Type

  • Size

  • Status

  • Date

Export

The Export tab allows a user to export the current document into an applicable format or file type, which is a PDF for a purchase invoice.
