Listing - Goods Dispatch

By selecting the Internal Goods Dispatch section in the slide bar, the user can access the Internal Goods Dispatch Note listing page. The Internal Goods Dispatch Note Listing page is a component of the Internal Goods Dispatch Note Applet that provides an organized view of all the dispatch notes within an organization. It serves as a central hub where users can access and manage dispatch notes efficiently. This page includes the following information:

  • Goods Dispatch Note No

  • Posting Status

  • Branch

  • Customer Name

  • Sales Agent

  • Created Date

  • Created By

  •  

3.1 Main Details

This tab is open when the user clicks on plus button at the top left corner and this tab is more sophisticated to add information such as Branch, Location, Sales Agent, Member Card, Transaction Date, Credit Terms, Due Date, Reference, Remarks, Permit No, Currency, Customer and Tracking ID. There are also two buttons at the top right corner, Reset and Create, Reset is used to clear all the values that are entered in the fields, the Create button is used for creating the new notes if all the necessary fields are present.

3.2 Account

There are a total of three sub tabs under this Account tab, which are Entity Details, Bill To and Ship To.

3.2.1 Entity Details

This sub tab shows the general information about the customers. Such information are Entity Id, Entity Name, Status, Entity Type, Identity Type, ID Number, Currency, GL Code, Description, Email and Phone Number.

3.2.2 Bill To

This is the second subtab of the Account tab, which shows the information about the customer's bill information such as Name, Email, Phone No, Billing Address, Address Line 1, Address Line 2, Address Line 3, Address Line 4, Address Line 5, Country, State, City, and Postcode.

3.2.3 Ship To

This is the third subtab of the Account tab and this is pretty similar to the Bill To tab, which shows the ship-to information about the customers which are Name, Email, Phone No, Shipping Address, Address Line 1, Address Line 2, Address Line 3, Address Line 4, Address Line 5, Country, State, City, and Postcode.

3.3 Lines Listing

This is another important tab for the users to see the line items that are related to the notes. This tab shows all the line items that are linked to that particular note. There is some information to view easily such as Item Code, Item Name, UOM, Qty, Unit Price(Inclusive of Tax), SST/VAT/GST, and Txn Amount. Not only this information but also the total price and total tax are also being calculated and shown at the right-hand side of the tab. If the user clicks the Plus button at the top left corner then the create mode for the line items will appear.

3.4 Create Lines

3.4.1 Search Item

This tab shows the list of base items that can be added to the lines tab with information such as Item Code, Item Name, UOM, and System Stock Balance.

3.4.2 Create KO Sales Order Item

This tab shows the list of sales order items that can be added to the lines tab with information such as Sales Order No., Item Code, Item Name, Qty, UOM, and Unit Price(Inclusive of Tax).

3.4.3 Create Jobsheet Item

This tab shows the list of jobsheet items that can be added to the lines tab with information such as Jobsheet No., Item Code, Item Name, Qty, UOM, and Unit Price(Inclusive of Tax).

3.4.4 Create Delivery Order Item

This tab shows the list of delivery order items that can be added to the lines tab with information such as Delivery Order No., Item Code, Item Name, Qty, UOM, and Unit Price(Inclusive of Tax).

3.4.5 Create Copy Quotation Item

This tab shows the list of purchase quotation items that can be added to the lines tab with information such as Purchase Quotation No., Item Code, Item Name, Qty, UOM, and Unit Price(Inclusive of Tax).

3.4.5.1 Item Details

3.4.5.1.1 Main Details

This tab opens when the user clicks on the one the item from the list with a huge load of information such as Item Code, Item Name, UOM, Pricing Scheme, Unit Price STD(Exclusive of Tax), Unit Price STD(Inclusive of Tax), Unit Discount, Quantity Base, Quantity by UOM, UOM to Base Ratio, Unit Price STD by UOM(Exclusive of Tax), Unit Price STD by UOM(Inclusive of Tax), Unit Discount by UOM(Exclusive of Tax), Unit Price Net by UOM(Exclusive of Tax), Unit Price Transaction by UOM(Inclusive of Tax), Unit Price Net(Exclusive of Tax), STD Amount(Unit Price x Quantity), Discount Amount(Exclusive of Tax), Amount Net(Exclusive of Tax), SST Code, SST/GST/VAT, Tax Amount, WHT Code, WHT, WHT Amount, Unit Price Transaction(Inclusive of Tax), Txn Amount and Remarks. If the user clicks the Add button at the top right corner then the selected line items will be added to current notes.

3.4.5.1.2 Delivery Instructions

This subtab provides the information to the user with specific instructions regarding the delivery of the line item. There are two sections in this subtab, the first section is Delivery Instructions which includes Instructions and Delivery Date. The second section is Delivery Message Card which includes From, To, and Message. Also, users can also mark the Copy from Entity Name or Copy from Recipient Name.

3.4.5.1.3 Department

Users can view the Segment, G/L Dimensions, Profit Center, and Project that are connected to the purchase order under this Department tab.

3.4.5.2 Pricing Details

This tab shows the pricing scheme related to line items with various information such as Pricing Scheme Code, Pricing Scheme Name, Unit Price, and Modified Date.

3.4.5.3 Issue Link

Users can view a list of issues that are linked to a line item using the Issue Link tab. Each linked issue can also show the logged time, if any, that was used to work on it. The list of issues contains information such as Project, Issue Number, Issue Summary, Issue Description, Assignee, Created Date, Resolved Date, and Status.

3.4.5.3.1 Edit Issue

When the user clicks on the issue, the additional information is shown on this tab. In this tab, users can see Issue Number and Summary as main information and below, Details tab, Project, Issue Type, Assignee, Reporter, Summary, Description, Parent and Created Date. After the user makes changes to the issue, they can click the Save button at the top right corner to save the latest issue.

3.5 Settlement

The settlement tab has the following details and also has the plus sign button that can be used to Add the Settlement. The information on the listing table are the Date, Amount, Details, and Remarks. Also, users can see the total and outstanding amount at the top right corner of the tab. If the user clicks the Plus button at the top left corner, another tab for creating settlements will appear.

3.5.1 Add Settlement

This create section is a simple one, just choose the Settlement Method from the dropdown and add it to the Settlement tab. If the user chooses the Settlement Method then the Add button at the top right corner will appear to add the settlement.

3.6 Department Hdr

Under this Department Hdr tab, users can see the Segment, G/L Dimensions, Profit Center, and Project that are linked to the purchase order. There are also two buttons at the top right corner, Reset and Create, Reset is used to clear all the values that are entered in the fields, and the Create button is used for creating the new Hdr if all the necessary fields are present.

3.7 Contra

In the Contra tab, users can see the contra documents that are related to the notes. The information available to view is Server Doc Type, Status, Date, and Amount Contra.

4.0 Edit Internal Goods Dispatch Note

4.1 Main Details

This tab is open when the user clicks on one of the listing data and this tab is more sophisticated to show information such as Document type, Doc No. (Tenant), Doc No. (Company), Doc No. (Branch), Branch, Location, Sales Agent, Member Card, Transaction Date, Credit Terms, Due Date, Reference, Remarks, Permit No, Currency, Customer and Tracking ID. There are also three buttons at the top right corner, Reset, Final, and Create, Reset is used to clear all the values that are entered in the fields, the Final is used to make the Draft notes to Final which makes the notes to disable the edit option and finally, the Create button is used for creating the new notes if all the necessary fields are present. The following Account tab is the same as 3.2 Account, Lines tab is the same as 3.4 Edit Lines, Settlement tab is the same as 3.5 Settlement, Department Hdr tab is the same as 3.6 Department Hdr and Contra tab is the same as 3.7 Contra.

4.4 Attachments

Users can see any other attachments that are related to the current notes in this tab. The information available to view includes File Name, Size, Uploaded Date and Uploaded By.

4.5 Export

The last tab of the Internal Goods Dispatch Note menu and the Export tab allow a user to export the current document into an applicable format or file type, such as PDF for a goods dispatch note.
